What is PTM?

PTM stands for β€˜People to Meet’. Typically, people who are dissatisfied with their experience at the organization and have a high probability to be disengaged or leave are automatically flagged by Amber as PTM cases based on their chat responses to a reachout.

When flagging a chat as PTM cases, Amber also attributes a risk (either High or Medium) of leaving the organization, giving an idea of the degree of dissatisfaction.

The organization should consider meeting the people placed in PTM to understand and address reported issues.

A PTM case can also be manually raised on any chat (dropped or completed) by a HR Admin, and they can also specify whether the PTM case is high or medium risk.

Why does PTM Matter?

Amber only flags those individuals as a PTM case whose response (to the reachout) indicates a high probability of being disengaged - either demotivated or likely to leave the organization.

Such employees are often troubled by issues in the organization, are likely demotivated and could adversely influence their environment. Meeting such members helps organizations to discover on-ground issues which require redressal, thereby making the organization a conducive place to work, and thus retaining talent.

What information is available in the PTM Across Demographics slide?

1. Title of the Report

The title of the report gives you essential information such as the data source the report is generated from, the metric which is present on the slide, the type of data, and the time period in which the data is captured.

In the example mentioned above, Tenure is the data source, PTM is the metric presented on this slide, Chats Sent between is the criteria, 01 May 2022 to 01 May 2023 is the time period, and Considering PTM data as on 01 May 2023 is the date threshold for the consideration of PTM status

(i) End date of the selected range
(ii) the Report Generation Date

The content is subject to change based on the configurations selected at the time of report generation.

  1. There can be multiple permutations and combinations for the title of the slide from the three data sources (Tenure and Pulse) and from the various metrics on the Dashboard.

  2. Multiple slides can also have the same title but with varying data depending on how the individual slides are configured at the time of report generation

2. Demographic Data

This refers to the demographics and criteria such as the minimum threshold for PTM cases and the sorting order of PTM Cases

In the example, Manager is the selected Demographic, the minimum threshold for PTM cases is 1, and sorting order is Total PTM cases (high to low).

3. Demographic entity with the highest percentage of people in PTM

The demographic entity which has the highest percentage of people in PTM for the given demographic criteria is called out along with the total number of people and the number of responses.

In the above example, Manager 1 has the highest percentage of people in PTM (29.4%). And the PTM percentage is calculated based on 148 people in PTM from 502 respondents.

πŸ’‘ What happens when multiple demographic entities on the list have the highest percentage of people in PTM? When all entities have an equally high percentage of people in PTM, the entity which has the highest number of people is chosen.

4. Demographic entity with the lowest percentage of people in PTM

The demographic entity which has the lowest percentage of people in PTM for the given demographic criteria is called out along with the total number of people and the number of responses

In the above example, Manager 10 has the lowest percentage of people in PTM (1.6%). And the PTM percentage is calculated based on 1 person in PTM from 61 respondents.

πŸ’‘ What happens when multiple demographic entities on the list have the lowest percentage of people in PTM? When all entities have equally low percentage of people in PTM, the entity which has the lowest number of people is chosen.

5. Demographic entity with the greatest rise in PTM Cases

This refers to the increase in PTM cases across the demographic. The demographic entity which has seen the greatest rise in PTM cases from the past period is called out along with the increment or decrement in people covered.

In the example above, 21 refers to the increment in PTM Cases from the past period. Manager 2 is the Manager that has the highest increment in PTM Cases. The increment of 21 cases arises from 115 cases from 467 respondents in the current period vs 94 cases from 456 respondents in the past period.

6. Demographic entity with the greatest fall in PTM Cases

This refers to the decrease in PTM cases across the demographic. The demographic entity which has seen the greatest fall in PTM cases from the past period is called out along with the increment or decrement in people covered.

In the example above, 23 refers to the increment in PTM Cases from the past period. Manager 10 is the Manager that has the greatest decrease in PTM Cases. The decrement of 23 cases arises from 2 cases from 61 respondents in the current period vs the 25 cases from 83 respondents in the past period.

7. Columns in the slide

Demographic

This represents the demographic chosen for comparison. For Example, the demographic chosen in the image is Managers. In this column, all the demographic elements (Managers in this case) defined in the system will be listed here if the people tagged to the Managers have been reached out during the period.

πŸ“Œ The total number of people who were NOT tagged to any demographic is called out on the slide so that people interpreting the slide can factor this information and any corrective measures can be taken to address such gaps.

Respondents

Respondents here refer to those who are tagged to the demographic and have responded to one or more reachouts during the reporting period.

Percentage of People in PTM

This refers to the percentage of people, among the respondents, who have been placed in PTM

PTM cases

This refers to the total number of cases among the respondents tagged under each manager for the given time period.

Delta

The Delta column here refers to the Past Period Comparison, which allows you to compare the number of PTM cases of the current period to that of the previous period to understand the difference in the number of PTM cases.

Delta = Number of PTM cases in the current period - Number of PTM cases in the past period

A positive number is indicated with a green triangle, while a negative number is indicated using a red triangle.

Two types of past-period comparisons can be configured:

Comparison with the immediately preceding period This considers the same timespan before the current reporting period. If the current period is for 1 quarter, 1 month, or 43 days, the past period will also consider the same time frame ending just before the current period starts.

In the current example, the past period is 1 year before the report was created and the dates arrived at are 30th Apr 2021 to 30th Apr 2022.

Comparison with the same date and month, but in the previous year Similar to the above option, we consider the same span of time, but one year ago (irrespective of how long the period is). So, in the current example, if the reporting period is 01st May 2022 to 31st May 2023, the past period would be 01st May 2021 to 31 May 2022.

⚠️ This option is available only when the reporting period is 1 year or less.

PTM Distribution

Closed Cases: The bar graph shows the percentage of cases marked as closed to indicate that remedial measures have been taken.

In-Progress Cases: This portion of the graph shows the percentage of PTM cases that are marked as β€˜in-progress’ to indicate that some action is being taken to address reported concerns.

Open cases: This portion of the graph refers to the percentage of PTM cases that are currently open, indicating that these cases are pending to be acted upon.

Expired cases: This portion of the graph refers to the percentage of PTM cases that have been marked as expired by the system as no action has been taken on them. Cases are also marked as expired when the employee in PTM has left the organization or has responded to their next reachout.
